Team of Officials

President
  • Supporting and coordinating the well-being of Executive Board members and officials.

  • Maintaining external relations in collaboration with the Vice President for External Affairs (VPE).

  • Developing and implementing strategies for structuring MedSCO-Oman and strengthening its external partnerships.

  • Assisting the Vice President for Internal Affairs (VPI) with local committees and supporting the Vice President for Finance and Sponsorship (VPFS) in fundraising efforts.

  • Managing the association’s official email in collaboration with the Executive Board.

  • Organizing and leading Executive Board and Officials meetings.

  • Maintaining communication with alumni.

  • Participating in the management of the association’s bank account alongside the Vice President for Finance and Sponsorship (VPFS).

  • Overseeing all association operations.

  • Issuing official association documents in collaboration with the Vice President for Finance and Sponsorship (VPFS).

  • Ensuring the proper implementation of internal regulations.

  • Managing the association’s official storage space (Google Drive or equivalent).

VPE – Vice President for External Affairs
  • Acting as the liaison and official representative of MedSCO-Oman.

  • Maintaining external partnerships and signed Memoranda of Understanding (MoUs) in collaboration with the President.

  • Coordinating the association’s participation in International Federation of Medical Students’ Associations (IFMSA) programs such as MM, AM, and EMR.

  • Promoting members’ participation in regional meetings and IFMSA General Assemblies.

  • Preparing and guiding delegations participating in external meetings in coordination with the relevant bodies.

  • Communicating with external entities and coordinating through the respective Liaison Officers.

  • Creating or endorsing opportunities that enable members to engage in external participation.

  • Drafting or reviewing documents and policies in collaboration with relevant officials through Standing Working Groups (SWGs).

  • Representing the association on the NMO Server and sharing important updates with the Team of Officials (TO).

  • Selecting delegations for external events based on specific criteria.

  • Leading or appointing a Head of Delegation (HoD) for such meetings.

  • Submitting biannual reports to IFMSA on behalf of the association.

  • Issuing official letters or documents with the approval of the President.

VPI – Vice President for Internal Affairs
  • Supporting and developing local committees to ensure they remain active and engaged.

  • Assisting National Officers and following up on the progress of work within the Standing Committees.

  • Preparing the annual report for local committees and the Team of Officials (TO).

  • Ensuring the smooth operation of the membership system.

  • Managing MedSCO’s Instagram account and the association’s website in collaboration with the Marketing, Publications, and Digital Development Director (MPDD).

  • Overseeing the National General Assembly (NGA) and its Organizing Committee.

  • Archiving all activities and contributing to the management of the member evaluation system in collaboration with the Vice President for Capacity Building (VPCP).

  • Maintaining and regularly updating the MedSCO-Oman database.

  • Collecting monthly reports from the Team of Officials and ensuring the implementation of the annual work plan.

  • Monitoring the team’s mental well-being and burnout levels.

  • Evaluating national events and utilizing feedback to improve the association’s performance.

VPCB – Vice President for Capacity Building
  • Supporting and coordinating the well-being of Executive Board members and officials.

  • Maintaining external relations in collaboration with the Vice President for External Affairs (VPE).

  • Developing and implementing strategies for structuring MedSCO-Oman and strengthening its external partnerships.

  • Assisting the Vice President for Internal Affairs (VPI) with local committees and supporting the Vice President for Finance and Sponsorship (VPFS) in fundraising efforts.

  • Managing the association’s official email in collaboration with the Executive Board.

VPFS – Vice President for Finance
  • Providing training resources to support capacity building efforts within MedSCO-Oman.

  • Ensuring effective communication with trainers and enhancing learning opportunities.

  • Designing and implementing the association’s capacity building strategy.

  • Contributing to the development of the evaluation system in collaboration with the Vice President for Internal Affairs (VPI).

  • Organizing the Team of Officials Handover Meeting (TOM0).

  • Collaborating with capacity building representatives in all Standing Committees.

  • Coordinating preparatory trainings before international meetings in collaboration with the President and the Vice President for External Affairs (VPE).

  • Encouraging members to participate in Pre-EMR and Pre-GA trainings and guiding them throughout the process.

  • Preparing a financial plan with the Vice President for Finance and Sponsorship (VPFS) to support trainers’ travel.

  • Supervising and evaluating capacity building activities (such as Pre-NGA, national sessions, camps, and trainings).

  • Maintaining the trainers’ database on the association’s platform and official storage space.

  • Following up on strategic progress in collaboration with the President within MedSCO’s overall strategy.

Director of Social Media and Design Programs
  • Designing, editing, and promoting the Internal Committee of MedSCO-Oman.

  • Responsible for developing and maintaining the association’s corporate identity.

  • Working to provide and enhance learning opportunities in media and publication fields, such as graphic design, editing, and videography.

  • Responsible for managing the association’s homepage and other official digital platforms.

  • Publishing and promoting the association’s activities across all official social media platforms.

  • Encouraging members to write articles for the International Federation of Medical Students’ Associations (IFMSA) publications.

  • Serving as the primary author of the association’s press releases, with the requirement that all press releases be presented to the Executive Board for final approval before being sent to media outlets.

  • The Media Support Director has the authority to appoint other individuals to assist in drafting press releases when necessary.

  • Preparing press releases for communication with media outlets regarding newsworthy events, when required.

National Officers (TOs)

The National Officer works closely with local committees, National Officers, and external partners to ensure the effective planning, implementation, and evaluation of public health projects. The role is not limited to overseeing ongoing activities, but also includes inspiring, training, and preparing future leaders.

Key Responsibilities

1. Project Oversight

  • Motivating and following up on the implementation of planned projects within local committees without direct interference in their management.

  • Guiding teams toward achieving their objectives through effective communication with Local Committees (LCs).

2. Representation

  • Representing the committee in international meetings, or delegating a qualified representative when absent.

3. Reporting and Evaluation

  • Preparing and submitting the annual activity report.

  • Evaluating each project within the committee and guiding teams toward continuous improvement.

4. Decision-Making

  • Submitting proposals for project endorsement and providing support for all committee initiatives.

5. Communication

  • Maintaining effective communication with the Executive Board (EB) and National Officers (TOs).

6. Handover

  • Ensuring a detailed and professional handover to the succeeding National Officer to guarantee continuity of work.

Purpose

To oversee MedSCO and its Standing Committees to ensure smooth operations, intervene in conflicts when necessary, and investigate any violations of the constitution, bylaws, or unethical conduct.


Key Responsibilities

Oversight and Advisory Role
  • Monitoring the decisions of the Executive Board and National Officers within the NMO and providing advisory opinions when needed (non-binding).

  • Selecting groups of officials to follow up with throughout the year and offering objective guidance and advice.


Supervision and Follow-Up
  • Investigating any issue that may harm the organization internally or externally.

  • Receiving investigation requests from Local Committees or officials.

  • Notifying officials and committee heads of investigation outcomes within one week in cases where violations are identified.


Evaluation and Investigation
  • Presenting both a written and oral report on the first day of the National General Assembly, prior to the adoption of officials’ reports.

  • Reviewing the minutes of Executive Board meetings and providing comments within the specified deadlines.


Reporting and Authority
  • Temporarily suspending any member of the Executive Board or NMO official for significant reasons, subject to approval by a two-thirds majority of the National General Assembly.

  • Reviewing any outgoing financial transactions exceeding 1,000 OMR.

  • Making decisions by a two-thirds majority vote.

To ensure transparency, integrity, and continuity of work within MedSCO and its Standing Committees, and to protect the organization from internal or external risks.

LOCAL TEAM

Local Committee President
Local Committee President

The Local Committee President is the official representative of the Local Committee and a member of MedSCO’s Team of Officials (TO). The President leads, coordinates, and oversees the work of the Local Executive Board and ensures the smooth functioning of MedSCO within the university.

Representation & Communication
  • Represents the Local Committee in external relations.

  • Serves as the main liaison between the committee, Student Affairs, and the university administration.


Leadership & Team Management
  • Coordinates, supervises, and supports Local Executive Board members and Local Officers.

  • Fosters a collaborative and growth-oriented environment.

  • Ensures members are provided with learning and development opportunities.


Strategic Planning
  • Develops and oversees short- and long-term strategies for MedSCO at the local level.

  • Ensures effective planning and execution of committee goals.


Governance & Compliance
  • Ensures proper implementation of MedSCO bylaws and regulations locally.

  • Oversees the registration of general members within the committee.


Coordination & Reporting

Works with Local Officers to create an annual activity timeline.

Submits regular reports on MedSCO activities and achievements to the Local Committee administration.

Local Committee Vice President for Administrative Affairs
Local Committee Vice President (Internal Affairs)

The Local Vice President for Internal Affairs supports the Local Committee President in ensuring the smooth functioning of the committee and its activities.


Key Responsibilities
  • Monitoring and reviewing Local Committee activities.

  • Maintaining regular communication with Local Officers and providing support to ensure smooth workflow within the committee.

  • Submitting monthly reports on local activities to the Vice President for Internal Affairs (VPI) and the Local Committee President.

  • Assisting the Local Committee President with additional tasks when required.

  • Supporting the Vice President for Internal Affairs (VPI) with responsibilities as needed.

Local Committee Vice President for Capacity Building
Local Vice President for Capacity Building

The Local Vice President for Capacity Building ensures the continuous development of members by promoting training opportunities and strengthening capacity-building initiatives within the Local Committee.


Key Responsibilities
  • Ensuring the presence of active capacity-building divisions within the Local Committee.

  • Supporting Standing Committee Capacity Building (SC-CB) Assistants in inter-committee collaborative activities.

  • Delivering at least three workshops annually for general members.

  • Promoting Capacity Building (CB) activities both online and onsite.

  • Maintaining and regularly updating the training resources database.

  • Encouraging members to participate in Pre-GA and Pre-Regional Meeting trainings and providing them with the necessary guidance and procedural support.

Local Committee Vice President for Finance & Administration
Local Vice President for Finance & Administration

The Local Vice President for Finance & Administration oversees financial operations and ensures proper documentation within the Local Committee.


Key Responsibilities
  • Monitoring financial matters and maintaining accurate records within the Local Committee.

  • Developing and implementing a fundraising strategy for the Local Committee team.

  • Managing all financial activities related to local events.

  • Preparing and maintaining sponsorship packages and proposals in collaboration with the Assistant Marketing, Publications, and Digital Development Director (MPDDA).

  • Supporting the Vice Presidents for Finance and Sponsorship (VPFs) in identifying potential partnerships with companies to provide offers and discounts for MedSCO members.

  • Preparing meeting minutes for Local Officers and collecting reports.

  • Uploading official minutes and documents to the MedSCO Drive platform.

Assistant Director of Media & Publications
Local Media & Publications Officer

The Local Media & Publications Officer manages the media presence and promotional activities of the Local Committee, ensuring consistent branding and effective communication.


Key Responsibilities
  • Designing, editing, and promoting activities of the Standing Committees within the Local Committee.

  • Managing social media publications related to committee activities and events.

  • Reviewing posts and promotional materials for local activities prior to publication.

  • Providing and enhancing learning opportunities in media and publication fields, such as graphic design, editing, and videography.

  • Overseeing media coverage for all Local Committee events.

  • Assisting the Director of Media & Publications with additional tasks as needed.

  • Implementing activities within the scope of the Standing Committee through a clear action plan and effective coordination and execution strategies.

  • Preparing and implementing a local action plan.

  • Encouraging and motivating members to participate in organizing activities within the work plan.

  • Supervising Project Managers and ensuring the successful implementation of activities.

  • Following up with the Local Executive Board to obtain certificates for organized events.

  • Introducing the Standing Committee to members at the beginning of each cycle/semester.

  • Maintaining regular communication with the respective National Officer for guidance and support.
